How do I update the Acuity labels?

As mentioned in the training, you will need to use the "labels" function in Acuity after  marking client appointments as rescheduled or cancelled. This will ensure that we can  still run payroll appropriately, and make sure that you are compensated for any late  cancellations or no-show appointments. 


When clicking on the appointment you are cancelling/rescheduling, you will see a drop down list marked "Label" in the middle-left section of the appointment pop out window.  From here, you will see a wide variety of labels. While there are some labels that are  used for internal purposes by the Therapist and User Success Teams, we want to bring  your attention to the following: 

1. Therapist cancel - the therapist has cancelled the appointment and communicated  this to the client 

2. Client cancel - the client has cancelled the appointment and this has been  communicated to the therapist or the client cancelled with User Success directly (in this  situation, our team will use this label) 

3. Clt reschedule - the client requested the appointment to be rescheduled and this has  been communicated to the therapist or the client cancelled with User Success directly  (in this situation, our team will use this label) 

4. Late cancel - the client cancelled the appointment within 24 hours of the scheduled  appointment time and this has been communicated to the therapist or the client  cancelled with User Success directly (in this situation, our team will use this label)

5. No show - the client did not call or show to the appointment after the therapist waited  15 minutes for the client to log in 


Please make sure that you choose the correct label before cancelling/rescheduling the  appointment. This will ensure that the changes are communicated to AdvancedMD by  Acuity. 


With your help, these labels will allow us to tailor our outreach to the clients to ensure a  more personalized experience as well as allow us to identify specific trends in our  engagement and retention data. Payroll for Late Cancel and No-Show appointments  will be run out of Acuity with the implementation of AdvancedMD on 12/4/23.
